Standard Operating Procedure (SOP)
Purpose: To establish a general guideline for “Work From Home” to make sure that working from home is beneficial to our employees as well as the company.
Scope: This SOP - Work From Home applies to Full Time/ Part Time/ Intern employees of Themefisher. Reasons that could demand Work from Home include but are not limited to:
- Pandemic
- Parenting
- Bad weather
- Unavoidable Emergencies ( example: Mother is very sick, no one else to take care of her)
- Medical reasons
- Overlong commute
- Other reasons as determined by Employees and Managers’/Founder judgement.
Definitions:
Work Expectation: Employees must adhere to the provided work schedule, meet deadlines, maintain high-quality standards, and submit daily reports.
Communication: Employees are to be online and accessible on Discord for 8 hours and 7 hours for the month of Ramadan, Saturday to Thursday.
Any correspondence from a co-worker or client must be answered as quickly as possible.
Security: All securing data and company information should be of utmost concern. Any breaches in security protocol will lead to strict and swift disciplinary action.
Compensation: No changes will be made to an employee’s salary if the employee works from home, full time. Salaries will increase according to company policy and successful performance reviews. Employees working remotely remain eligible for promotion and skills development programs.
Procedure:
How to start work: Office start, end and break time will be the same for everyone. (except special case/consideration).
- Every employee has to write “In” on Discord/communication channel while starting work in the morning.
- Notify “Break” while taking a short break/lunch break.
- Everyone has to take a break at the same time (2.00 PM - 3.00 PM)
- Inform your immediate supervisor if you’re going to take a break more than 30 minutes.
- Unexpected Breaks: In case of urgent matters or technical issues (electricity, internet), employees must inform their immediate supervisor and team members about the absence.
End of work:
- Submit your work report 15 minutes prior to closing.
- Write/notify “Out” once your working hour ends for a day.
Tools to use for Communication:
- Discord
- ClickUp
- Zoom
- Google meet
Work report before leave:
- Make a organized work report everyday
- Describe what specific work you have done under which project
- If possible prepare a video content on your work
Join a meeting:
- Make sure you have an uninterrupted internet connection
- Setup all the possible mediums for meeting
- Ensure high quality audio and video
- Be in a noiseless/soundless place
- Keep yourself and the environment ready to receive video calls and
- Video must be on
- Work updates have to be given according to senior to junior
- Keep your mic mute when your colleague is talking
- Prepare your work report for demonstration
Arrange a meeting:
- Make your connection ready (Video and Audio as like “Join a Meeting”)
- Avoid azan or prayer time for meeting
Take leave:
- Let your Immediate Supervisor/ Manager know why and when you are going to take leave ( as you used to take leaves during regular office days).
Adjustment: If you work extra hours or holidays, you can talk to the supervisor / manager and make adjustments with their approval.
